Role Purpose

The Operations Manager is responsible for owning and protecting the operational systems of Life Consultants Inc. This role ensures the organization operates with financial discipline, process integrity, accurate data, and reliable technology.

This position is ideal for someone who thrives on structure, documentation, controls, and follow-through, and takes pride in building systems that scale without breaking.

Many operational processes exist but are not yet fully documented or standardized. This role is expected to help design, document, and stabilize core operational systems, then ensure consistent adherence over time. 

Scope & Authority

  • Directly manages Administrative Assistants

  • Owns operational systems, SOP standards, documentation, and controls across the organization

  • Reviews and monitors departmental adherence to approved processes and systems

  • Partners with department leaders to correct gaps and enforce standards

  • Does not manage clinical, HR, or program staff

Core Responsibilities

1. Financial & Administrative Operations

  • Manage Accounts Payable & Accounts Receivable with strict controls

  • Ensure:

    • Bills are coded correctly

    • Payments are approved before release

    • No missed, duplicated, or unsupported transactions

  • Maintain organized, audit-ready financial documentation

  • Coordinate with CPA/bookkeeping partners and provide complete, accurate data on time

2. Operations, Reporting & Controls

  • Create, maintain, and validate operational and administrative reports

  • Ensure data accuracy, consistency, and timeliness

  • Track work, deadlines, and dependencies using ClickUp (or equivalent)

  • Identify breakdowns and implement permanent fixes

3. Systems, SOPs & Process Integrity

  • Develop, maintain, and enforce operational and technology SOPs

  • Review departmental SOPs for clarity, consistency, and alignment

  • Monitor adherence to approved processes and systems

  • Prevent process drift as the organization grows

4. Technology & IT Operations

  • Set up, maintain, and troubleshoot:

    • Computers, phones, printers, and office systems

  • Manage basic IT infrastructure (hardware, software, access, vendor coordination)

  • Provide technical support and basic training to staff

  • Maintain documentation for system setup and troubleshooting

5. Office & Facilities Management

  • Ensure office facilities are safe, functional, and well-maintained

  • Coordinate vendors, repairs, and office supply needs

6. Front-Line Office Support

  • Answer and route incoming calls professionally and accurately

  • Ensure messages and requests are documented and followed up
